Free cleaning quote template (Excel / Numbers)

A small, free spreadsheet for pricing cleaning jobs from your own rates. Enter your hourly price, what an hour of cleaning costs you, a supplies %, your minimum price and travel, then up to 10 jobs with their cleaner-hours, any add-ons and a regular-client discount. For each job you get the price per visit, your cost, your profit and your margin.

One sheet, no macros, no sign-up. Excel format (.xlsx). We checked its formulas in Apple Numbers 14.2 and LibreOffice Calc against hand-worked test cases, including the example in the file. It has not been tested in Microsoft Excel or Google Sheets. It works out prices; it is not a quote document to send to clients.

What's in it

How it works

Price per visit = the larger of (cleaner-hours × hourly price + add-ons) × (1 − discount) and your minimum price, plus the travel charge. Cost per visit = cleaner-hours × labor cost + supplies % × price per visit + travel cost. Profit = price − cost; margin = profit ÷ price. These are the same formulas as the hourly method in the full tracker.

Worked example in the file

The blue cells start with a fictional example, not suggested prices: $50 an hour, $22 labor cost, 6% supplies, a $120 minimum, a $5 travel charge and $4 travel cost. Client A, 4.5 cleaner-hours with $25 of add-ons and a 15% discount, comes to $217.50 a visit, costs $116.05 and leaves $101.45 profit, a 46.6% margin. Client B's 2 hours would be $100, so the $120 minimum applies: $125.00 with travel and $69.50 profit (55.6%). Client C, 3 hours with 10% off, is $140.00 with $61.60 profit (44.0%).
